1. Introduction
EnquiryCRM (“EnquiryCRM”, “we”, “our” or “us”) is the registered legal entity responsible for the EnquiryCRM website and services, as applicable. We respect the privacy of website visitors, prospective customers, account holders and individuals whose information is processed through our cloud-based customer relationship management (“CRM”) platform.
This Privacy Policy describes how personal information is collected, used, stored, disclosed and protected when you visit enquirycrm.com, request a demo, contact us, create an account or use our CRM and related services (“Services”). This Policy should be read together with any applicable service agreement and other notices. Where the law requires consent, we seek it separately; merely accessing a website does not substitute for legally required consent.
2. Definitions
“Personal Data” means information about an identified or identifiable individual. “Customer” means a person or organization that subscribes to or operates an EnquiryCRM account. “Authorized User” means a person given access to that account. “Customer Data” means leads, contacts, sales information, tasks, proposals, support records, documents and other content stored or managed through the Services. “Visitor” means someone browsing our website.
3. Information We Collect
Account and contact details: names, business names, roles, email addresses, telephone numbers, business addresses, login identifiers and account preferences that you provide.
CRM and customer content: leads, contacts, enquiry details, notes, products and catalogues, quotations and proposals, sales opportunities, tasks, activity histories, support tickets and files that Customers or their Authorized Users upload or create. This may include personal data about the Customer’s own contacts.
Technical and usage information: IP addresses, approximate location derived from IP, browser and device characteristics, session identifiers, pages accessed, timestamps, feature usage, diagnostic logs and security events, as collected through technologies actually enabled on our Services.
Billing and communications information: subscription plan, billing and transaction references, payment status and records of conversations with support or sales. If a third-party payment processor is used, payment credentials may be handled directly by that processor rather than EnquiryCRM.
Integrations: where a Customer connects an external service, we may receive or transmit data that is necessary for the authorized integration, according to the permissions granted.
4. Purposes of Processing
We use relevant information to provide and administer accounts; operate lead, contact, pipeline, task, proposal, product and support features; respond to enquiries and demo requests; manage subscriptions and payments; provide customer support; maintain security and prevent misuse; troubleshoot and improve functionality; analyze aggregate service performance; send essential account notifications; communicate product or marketing updates where lawful; and comply with applicable legal obligations.
We do not sell Customer Data to data brokers or use Customer Data for unrelated third-party advertising.
5. Legal Grounds and Consent
We process personal data on applicable lawful grounds, which may include consent, the provision or administration of requested services, compliance with legal requirements and other grounds allowed by relevant law. Where consent is required, individuals may withdraw it using the means provided or by contacting us, subject to applicable legal requirements. Withdrawal does not invalidate earlier lawful processing.
6. Customer Data and Responsibilities
Customers retain their rights in information they submit to the CRM. EnquiryCRM does not acquire ownership merely by hosting or processing that information.
Customers are responsible for giving appropriate privacy notices and establishing the legal basis for collecting and using personal data of their leads, contacts, employees and other individuals. When we act on a Customer’s behalf, we process Customer Data to provide, secure and support the Services in accordance with authorized instructions, our agreements and applicable law.
7. Cookies and Similar Technologies
We may use essential cookies to operate sessions and authentication, functional cookies to remember preferences, and analytics or marketing technologies if enabled. Nonessential technologies will be subject to applicable notice and consent requirements. Browser controls may allow users to disable certain cookies; disabling essential cookies may prevent parts of the Services from working. A separate cookie notice or preference mechanism may provide additional detail.
8. Third-Party Services and Integrations
The Services may work with external providers for hosting, payment processing, email, communications, analytics, security or optional integrations. When a Customer authorizes a third-party integration, relevant data may be exchanged as needed for that functionality. Third parties may operate under their own privacy policies and contractual terms. We do not claim that any particular integration is available unless it is actually offered within the Services.
9. Sharing and Disclosure
We may disclose information to service providers performing authorized functions; to third-party services expressly enabled by Customers; to courts, regulators or public authorities where lawfully required; and to advisers or parties involved in a legitimate corporate transaction subject to appropriate safeguards. We may also disclose limited information when necessary to investigate abuse or protect rights and service security. We do not sell personal information.
10. Data Security
We aim to maintain reasonable technical and organizational safeguards appropriate to the information and risks involved, which may include secured connections, authentication, access restrictions, monitoring, backups and incident-response procedures as implemented. Authorized Users must protect their credentials and configure user permissions responsibly. No electronic system can guarantee absolute security.
11. Data Retention
We retain information for the periods reasonably necessary for the purposes in this Policy, our contractual commitments, lawful business needs and legal obligations. Customer Data is ordinarily maintained during the relevant subscription and then handled under applicable account termination, export, backup and deletion procedures. Certain billing, security or compliance records may need to be kept longer. Specific retention and backup-deletion timelines should be set out in the applicable service terms or communicated to Customers.
12. Privacy Rights and Requests
Depending on applicable law, individuals may request access, correction, updating or deletion of personal data, withdrawal of consent, or assistance with privacy grievances. Requests may be submitted to info@enquirycrm.com. We may verify identity before taking action and may decline or limit requests when a lawful exception applies.
If information is held within a Customer’s CRM account, that Customer may be primarily responsible for deciding how to respond to the request. We will provide reasonable assistance as required by law and our agreements.
13. Marketing Communications
Where permitted, we may send product announcements, offers, demo follow-ups and other marketing communications. Recipients may use unsubscribe links when available or email info@enquirycrm.com to opt out. Essential account, transactional and security messages may still be sent where necessary and lawful.
14. Children’s Privacy
The Services are intended for business use and are not designed for children to register independently. We do not knowingly solicit children’s personal data through our account registration process. If we become aware of personal data collected in breach of applicable requirements, we will take appropriate steps.
15. International Processing and Transfers
Depending on our actual infrastructure and third-party providers, information may be accessed, processed or stored outside India. Where cross-border transfers take place, we will apply safeguards and follow restrictions required by applicable law. The precise hosting location and transfer arrangements may also be explained in customer agreements or other service notices.
16. External Links
Our website may contain links to other organizations’ websites. We do not control their privacy practices and encourage visitors to review the relevant external privacy notices before sharing information.
17. Security Incidents
If we identify a suspected or confirmed data security incident, we will investigate, take appropriate containment and remediation measures, and provide required notifications to Customers, individuals or authorities in accordance with applicable law. Suspected unauthorized access can be reported to info@enquirycrm.com.
18. Applicable Laws
We aim to comply with applicable Indian privacy and technology legislation, including the Information Technology Act, 2000 and applicable rules, and relevant provisions of the Digital Personal Data Protection Act, 2023 and related rules as and when they become enforceable. Other laws may apply depending on where Customers and individuals are located and how their data is processed.
19. Updates to This Policy
We may amend this Privacy Policy to reflect changes in law, functionality, technology or business practices. We will post the updated version and revise the “Last Updated” date. Where the law requires further notice or fresh consent for material changes, we will take appropriate steps.
